Terms of service

The plain-English summary: GoTaxes is filing software, not an accountant. You're responsible for the figures; we're responsible for turning them into correct, validated filings and treating your data properly.

1. Who you're contracting with

These terms are a contract between you and House Medical Consultants Ltd (company number 12540692, England and Wales), trading as GoTaxes ("we", "us"). By creating an account you accept these terms and our privacy policy.

2. What GoTaxes is (and isn't)

  • GoTaxes is software for preparing and filing UK company accounts and Corporation Tax returns, preparing director Self Assessment returns, keeping Making Tax Digital records (Money), and organising related admin (Assist).
  • Different parts of the service are at different stages. Companies House filing has been proven on their test service and a live filing package has been granted. HMRC submission (Corporation Tax and Self Assessment) opens when our software recognition with HMRC completes — until then those parts are preparation only, and the service says so where it applies. Assist's AI features are in private beta.
  • GoTaxes is not an accountancy firm, tax adviser or law firm, and nothing in the service — including guidance text and AI-generated content — is professional advice.
  • The service is designed for companies and individuals with straightforward affairs. Where your situation falls outside what we support, the service says so; proceeding regardless is your choice.

3. Your responsibilities

  • The figures and documents you enter or upload are yours: you're responsible for their accuracy and completeness, and for reviewing the generated documents before filing them.
  • Statutory deadlines remain your responsibility. We surface them and remind you, but we can't file without your instruction.
  • Keep your login credentials confidential. You're responsible for activity under your account.
  • Only upload material you have the right to process. Don't use the service for anything unlawful, or attempt to probe, overload or disrupt it.

4. Filings

  • Filings are submitted to HMRC and Companies House only when you explicitly instruct it, using credentials you provide at the moment of submission (never stored).
  • Validation checks reduce the chance of rejection but cannot guarantee acceptance — the authorities' decision is final.
  • If a submission is rejected, you can correct and re-file at no extra charge. If a failure is caused by a defect in our service, we'll re-file or refund that filing fee — your choice.
  • Occasionally a submission's outcome is genuinely unknown (a network failure after the government received it). We will tell you clearly, never silently resubmit, and resolve the true status with the authority before any further action.
  • Government fees (for example the Companies House confirmation statement fee) are the authority's charge, shown separately and passed through at cost. They are not refundable by us once the authority has taken them.
  • You can record an obligation as filed elsewhere or not required. That only stops our reminders — it is your statement, not a filing, and does not discharge any duty you owe HMRC or Companies House.

5. AI features (Assist and the business modules)

  • Assist's outputs (summaries, checklists, checks, drafts, packs, answers) are generated by AI to help organise admin work and may require professional review. They are not a substitute for accounting, tax or legal advice.
  • Nothing Assist produces takes effect without your action. Drafts are never sent automatically: an email leaves GoTaxes only after you approve it and press Send, and every send is recorded in the workspace activity log. E-signature invitations are emailed to the signer only when you create a signing link and provide their address; otherwise you share the link yourself.
  • The business modules (Company records, Contracts, Property, Invoices, Tenders, HR) produce administrative documents and drafts only. Generated contracts, letters, registers and trackers are templates for your review — they are not legal, employment, debt-recovery or property-law advice.
  • Some matters always need a professional: possession or eviction of tenants, dismissals and disputed employment decisions, and court action to recover debts. GoTaxes drafts flag these and will not advise on them.
  • Statutory late-payment interest figures are calculated from published Bank of England reference rates as a prompt of what you may be able to claim — check them before relying on them.
  • Assist is subject to a fair-use quota (currently 1,000 pages and 300 AI actions per month) which we may adjust with notice.

6. Fees

  • Preparation is free. Filing is charged per company per year at the prices shown at checkout (plus VAT where applicable), covering both the accounts and the tax return for that year, including amendments.
  • Money and Assist are monthly subscriptions, charged in advance. Cancel any time; access continues to the end of the paid period and no further charges are made.
  • Prices may change; changes never apply to a period you've already paid for.
  • Consumer cancellation rights: if you're buying as an individual (for example a director Self Assessment return), you normally have 14 days to change your mind. Because filing is a service you ask us to perform immediately, by instructing a submission you agree we may start straight away — and you lose the right to cancel once that filing has been submitted. Before submission, ask us and we'll refund in full.

7. Your data

You retain all rights to the data and documents you put into GoTaxes. You grant us the licence needed to operate the service — to store your data, generate your documents, submit your filings, and (for Assist) process your documents through our AI provider as described in the privacy policy. You can export your data and request deletion at any time.

8. Availability and changes

We aim for the service to be available continuously but don't guarantee uninterrupted operation, and we may improve or change features over time. We'll give reasonable notice of any change that materially reduces what you've paid for.

9. Liability

  • Nothing in these terms limits liability that cannot lawfully be limited (including for death, personal injury, or fraud).
  • Subject to that: our total liability arising from the service in any 12-month period is capped at the greater of (a) the amounts you paid us in that period and (b) £1,000.
  • We are not liable for penalties, interest or losses caused by inaccurate figures you provided, missed deadlines where you had not instructed a filing, or your reliance on AI output without review.
  • We are not liable for indirect or consequential losses, or loss of profit.

10. Complaints

If something goes wrong, email hello@gotaxes.co.uk with your company number and what happened. We aim to acknowledge within one working day and resolve or explain within five. If a statutory deadline is at risk, say so in the subject line and we will prioritise it. If you are not satisfied with the outcome, you can ask us to escalate it to the business owner for a final response.

11. Termination

You can close your account at any time. We may suspend or terminate accounts that break these terms, with notice where practicable. Sections that by nature survive (fees owed, liability, data obligations) survive termination.

12. General

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. If part of these terms is found unenforceable, the rest stands. We may update these terms; material changes will be notified by email before they take effect.
